A GROWING NEED
PRIDE Industries is a not‐for‐profit company providing integrated facilities maintenance services to public and private sector customers while creating meaningful jobs for people with disabilities. Growing rapidly, and managing increasingly-complex base operating support systems on military installations across the country, PRIDE required an Enterprise Asset Management system that could centralize controls and increase management visibility while unifying a host of critical work order processes, inventory controls, and differing systems.
Faced with quick turnaround needs, PRIDE called on Advoco:
- for rapid implementation and training on a customized solution that would interface with finance, operations, and management,
- to provide real-time access to workflow and inventory data, and
- to enhance tracking reports to its customers with verifiable data.
EXPERTISE AND TEAMWORK FOR RAPID TURNAROUNDS
To address PRIDE’s needs and increase the efficiency of its operations, Advoco provided system implementation, training, and support for the Infor Enterprise Asset Management (EAM) system. By enhancing out‐of‐the‐box functionality, Advoco was able to customize the system to the company’s exact specifications. At the same time, Advoco developed a tool that could be used universally for process and reporting requirements across diverse contracts.
Advoco's dedicated on‐site resources sped the implementation process with a series of business and configuration workshops (“sprints”) addressing key functional areas, while PRIDE’s team provided subject matter expertise to refine processes and data. Working with real‐time data in the actual work environment, Advoco was able to stand‐up the system at two critical sites in a matter of weeks -- not months – providing a customized model for the company to use across its various contract locations.
Advoco’s on‐site training and go‐live support ensured a smooth, user‐friendly transition. At one location, both the contract and the system were launched simultaneously without any service interruption to the customer.
RESULTS
The new EAM system provides a centralized solution with a common data set providing several key benefits:
- Real‐time visibility at all management levels to enable:
- Corporate review of work management and performance metrics
- Increased financial accuracy in forecasting and AP/AR processing
- Efficient work order tracking and improved preventative maintenance programs:
- Ability to track work orders in real time and provide accurate reports
- Maintain a schedule of inspections and a record of preventative maintenance tasks, anticipating replacement part needs
- Improved inventory management controls to drive down costs by:
- Aligning inventory levels with actual needs to reduce on‐hand spare parts inventory
- Minimizing inventory of spare parts that can be delivered rapidly by approved vendors
- Tracking warranty agreements for parts to ensure replacement or refunds
Delivered on schedule, the system readily proved its value and demonstrated ease of use, creating system‐wide user acceptance and immediate productivity improvements.
